Minutes of the Board of Trustees

 

Johnsburg Public Library

 March 14, 2017

                            

Call to Order

Meeting was called to order by President M. Diedrich at 7:03 P.M.  Trustees present:  M. Diedrich, K. Gustafson, B. Harmel, K. Hughes, P. Shearer, and J. Stockwell. Director M. Zawacki was present.

Trustee absent:  R. Barnes.

 

Approval of Minutes

Motion was made by B. Harmel and seconded by K. Hughes to approve the minutes of the February 14, 2017 Board Meeting.

Ayes:  M. Diedrich, K. Gustafson, B. Harmel, K. Hughes, P. Shearer and J. Stockwell.

Motion passed.

 

Approval of Bills

Motion was made by J. Stockwell and seconded by K. Gustafson to approve the payment of the March 2017 bills in the amount of $41,741.30.

Ayes:  M. Diedrich, K. Gustafson, B. Harmel, K. Hughes, P. Shearer and J. Stockwell.

Motion passed.

 

Treasurer’s Financial Report

Trustees reviewed the FY Year 2016-2017 February 28, 2017 financial report.

Correspondence

Trustees regretfully reviewed Director M. Zawacki’s Official Intent to Retire letter with her last day being July 29, 2017. She has been an exceptional library director serving the Johnsburg library community for almost 25 years. We wish her a very happy, healthy retirement with more time to begin reading her list of “To Read” selections.

Trustees reviewed the April Consolidated Election Candidate Proof List including present Trustees P. Shearer (2 Year Term), and J. Stockwell (6 Year Term), Music Teacher S. Reitz (6 Year Term), and present Trustee B. Harmel as a Write-In (4 Year Term) candidate.

 

Trustees reviewed the Memo from lawyer on the April 4 Consolidated Election.

 

Trustees reviewed the Follow-up memo from lawyer on the Open Meeting Act.

 

Trustees reviewed Trustee K. Hughes resignation letter effective May 17, 2017. After 16 years of dedicated service as a Johnsburg library board trustee we wish her well in all of her future endeavors.

New Business continued

Motion was made by J. Stockwell and seconded by K. Hughes to approve the pre-payment of landscape services for 2017 in the amount of $3,873.15 (including a 5% discount).

Ayes:  M. Diedrich, K. Gustafson, B. Harmel, K. Hughes, P. Shearer and J. Stockwell.

Motion passed.

 

Motion was made by J. Stockwell and seconded by B. Harmel to approve updates/changes to the Policy & Procedures manual including the Code of Ethics of the American Library Association, The Freedom to Read Statement, Job Descriptions changing the job title Children’s Librarian to Youth Librarian and changing Education and Training reimbursement fees of library related courses from $75.00 to $100.00 per credit hour with a maximum of 3 credit hours $300.00 per semester.

Ayes:  M. Diedrich, K. Gustafson, B. Harmel, K. Hughes, P. Shearer and J. Stockwell.

Motion passed.

 

Motion was made by J. Stockwell and seconded by K. Hughes to approve additional expenses including $100 registration fee and mileage reimbursement for future library director B. Ryan’s possible attendance at Director’s University from June 5- June 8, 2017 in Springfield, IL.

Ayes:  M. Diedrich, K. Gustafson, B. Harmel, K. Hughes, P. Shearer and J. Stockwell.

Motion passed.

 

Director’s Report

 1.  Staff Changes/Update:

Karen Miller has obtained another position and submitted her resignation with her last day being March 11, 2017. Current employee Teagan Anderson will be taking over Karen’s responsibilities. Director M. Zawacki has reduced the total number of hours for the position. Stephanie Santiago has been hired to take over Teagan’s shelver position effective March 13, 2017. Employees Cindy Bennetts and Julie Schoen have had surgeries requiring taking time off and we hope they are feeling better.

 

2.   Lighting Options for the Johnsburg Road entrance:

Director M. Zawacki has talked to Kurt and he said reflectors already exist.  Kurt was concerned about vandalism and/or theft in regards to installing solar lights in the triangle, as well as the fact that the batteries that are required don’t function well in our cold winter weather. After Kurt spoke with Ridgeview Electric officials about lighting options on our property, as opposed to on the village easement, Kurt submitted these options to the Village Engineer.

DIRECTOR’S REPORT

March 2017

 

  1. Staff Changes/Update:

Karen Miller has obtained another position elsewhere and submitted her resignation, with her last day being March 11.  Current employee Teagan Anderson will be taking over Karen’s responsibilities. After evaluating the position and the current staff schedule, I’ve reduced the total number of hours for the position.  Stephanie Santiago has just been hired to take over Teagan’s shelver position.  Her first day will be March 13.  Employee Cindy Bennetts has been off a couple of weeks following shoulder replacement surgery and Julie Schoen was off for a week after arm surgery.

 

  1. Lighting options for the Johnsburg Road entrance:
