Minutes of the Board of Trustees

 

Johnsburg Public Library

 October 11, 2016

 

                            

Call to Order

Meeting was called to order by President M. Diedrich at 7:05 P.M.  Trustees present:  M. Diedrich, K. Gustafson, B. Harmel, K. Hughes, P. Shearer and J. Stockwell. Director M. Zawacki was present.

Trustee absent:  R. Barnes

 

Approval of Minutes

Motion was made by B. Harmel and seconded by P. Shearer to approve the minutes of the September 13, 2016 board meeting.

Ayes:  M. Diedrich, K. Gustafson, B. Harmel, K. Hughes, P. Shearer and J. Stockwell.

Motion passed.

 

Approval of Bills

Motion was made by J. Stockwell and seconded by K. Gustafson to approve the monthly payments for IMRF not listed on the monthly bills from November 10, 2015 until September 13, 2016 in the amount of $36,490.15.

Ayes: M. Diedrich, K. Gustafson, B. Harmel, K. Hughes, P. Shearer and J. Stockwell.

Motion passed.

 

Motion was made by K. Hughes and seconded by J. Stockwell to approve the payment of the October 11, 2016 bills in the amount of $57,273.20.

Ayes:  M. Diedrich, K. Gustafson, B. Harmel, K. Hughes, P. Shearer and J. Stockwell.

Motion passed.

 

Treasurer’s Financial Report

Trustees reviewed the FY Year 2016-2017 September 30, 2016 financial report.

 

Committee Reports

None

 

Correspondence

Trustees reviewed the September and August monthly IT reports.

 

Trustees reviewed the Planning Projection for 2016 Extension (for 2017 Collection) from Carol Saunders, the Chief Deputy County Assessor.

 

Trustees reviewed the Attorney General Antitrust Settlement Claims for purchases of LCD Products the library purchased between 1-1-1998 and 12-31-2006 numbering 13 LCD monitors and 1 LCD notebook computer amounting to $2,681. For the Dram Antitrust Settlement online claim the total approximate dollar amount of desktop computer, laptop computers and servers purchased between July 1998 and June 2002 is $4326.

 

Trustees reviewed a RAILS LLSAP Membership Grant follow-up letter awarding the library $20,660.51 for the server and interlibrary loan workstation requested. The LLSAP Grant Agreement required signatures of the board president and secretary.

 

Trustees reviewed the appreciated post on Facebook.

 

Trustees reviewed the memo from lawyer on 4/4/17 Consolidated Election. Trustees needing to run and their terms ending following the election are J. Stockwell-2023, R. Barnes-not running, P. Shearer-2019, and B. Harmel-2021.

New Business

Motion was made by J. Stockwell and seconded by K. Hughes to approve to pay Mark’s Tree Service for removal of 9 dead trees pending written statement stating quote includes stump grinding.

Ayes:  M. Diedrich, K. Gustafson, B. Harmel, K. Hughes, P. Shearer and J. Stockwell.

Motion passed.

 

Motion was made by J. Stockwell and seconded by B. Harmel to approve recommended changes to Personnel Policies in policy manual, including vacation time for the library director position to be determined at time of hire.

Ayes:  M. Diedrich, K. Gustafson, B. Harmel, K. Hughes, P. Shearer and J. Stockwell.

Motion passed.

 

Motion was made by J. Stockwell and seconded by K. Gustafson to approve the 2016/2017 snow plowing quote of $189.00 per plow from Brooks Landscaping (same as last year).

Ayes:  M. Diedrich, K. Gustafson, B. Harmel, K. Hughes, P. Shearer and J. Stockwell. 

Motion passed.

 

Director’s Report

1.  

Dates set for RAILS Sierra training:

All-staff training has been set up at the library for the afternoons of Friday, March 10 and Friday, April 7. The library will be closed each of those afternoons.  The “Go Live” date has been set for Monday, April 17.

DIRECTOR’S REPORT

October 2016

 

  1. Dates set for RAILS Sierra training:

Two RAILS staff members met with Melanie and me to talk about steps necessary to prepare for the conversion from Follett to Sierra.  All-staff training has been set up here at the library for the afternoons of Friday, March 10 and Friday, April 7.  (Library will be closed all afternoon.)  The “Go Live” date has been set for Monday, April 17.
