Minutes of the Board of Trustees

 

Johnsburg Public Library

February 9, 2016

                            

Call to Order

Meeting was called to order by President M.J. Farrell at 7:05 P.M. Trustees present:  M.J. Farrell, M. Diedrich, K. Gustafson, B. Harmel, K. Hughes and J. Stockwell.  Trustee absent:  R. Barnes.  Director M. Zawacki was present.

 

Approval of Minutes

Motion was made by J. Stockwell and seconded by K. Hughes to approve the minutes of the January 12, 2016 board meeting.

Ayes:  M.J. Farrell, M. Diedrich, K. Gustafson, B. Harmel, K. Hughes and J. Stockwell. Motion passed.

 

Approval of Bills

Motion was made by J. Stockwell and seconded by M. Diedrich to approve the payment of bills in the amount of $38,017.79.

 Ayes:  M.J. Farrell, M. Diedrich, K. Gustafson, B. Harmel, K. Hughes and J. Stockwell. Motion passed.

 

Treasurer’s Financial Report

Trustees reviewed the FY Year 2015-2016 January 31, 2016 financial report.

 

Committee Reports

None

 

Correspondence

Trustees received information about a Library Trustee Forum to be held Saturday, February 13, 2016. No trustee from Johnsburg Library will attend.

Trustees received a report on online book sales. Vintage books sell better on Ebay. The most sales occurred during the month of January 2016.

Trustees reviewed the FOIA Request legal memo.

Trustee B. Harmel attended the February 6, 2016 Conservation Congress 2016 and reported about the conference-Shaping the Future of Conservation on McHenry County Public Lands – The Next 50 Years detailing concerns about the future preservation of small amounts of “open” public lands.

 

Unfinished Business

Motion was made by J. Stockwell and seconded by B. Harmel to approve the policy manual and bylaws revisions in the Table of Contents. Under I- the Board of Trustees Policy Statements- Investment of Public Funds is moved to II- Financial Policies, I-Sexual Harrassment is moved to V-Personnel Policies and IV-Confidentiality Policy-Staff instructions is moved to III-Legal Requirements. Other changes are detailed in Disposal of Surplus Library Materials, Circulation, Computer Usage Policy and Emergency Procedures. The E-Mail Policy statement was deleted.

Ayes:  M.J. Farrell, M. Diedrich, K. Gustafson, B. Harmel, K. Hughes and J. Stockwell.  Motion passed.

 

New Business

Trustees determined their shifts at the March 12, 2016 Annual Business and Craft Expo schedule:  10:00-11:30- Director M. Zawacki, K. Gustafson and B. Harmel, 11:30-1:00-M.J. Farrell and M. Diedrich, and 1:00-2:00-J. Stockwell and K. Hughes.

 

Director’s Report

There is a meeting with RAILS PrairieCat Personnel scheduled for Friday, February 19, 2016. All library staff can address questions and concerns about joining the library system’s online circulation/catalog consortium.

DIRECTOR’S REPORT

February 2016

 

  1. Meeting with RAILS PrairieCat Personnel 

A site visit has been scheduled for Friday morning, Feb. 19 so that all library staff can sit down and discuss questions and concerns about joining the library system’s online circulation/catalog consortium.  The library will be closed that morning.  In attendance will be Judy Hutchinson (Member Services Supervisor for the library system), Carolyn Coulter (new PrairieCat Manager), and Sarah Tobias, who is the PrairieCat Chair and Executive Director of the Sycamore Public Library.
